
Terms and Conditions
Payments
All payments are due at the time of booking.
Payments are non-refundable and non-transferable.
The Booking Fee (if applicable) is not a deposit towards services but an administrative fee to process your reservation, secure your requested date and time, and retain the professionals needed for your ceremony.
The Booking Fee will be applied to the total package price unless the service is canceled or changed. It is non-refundable in the event of cancellation.
Credit/Debit Card Payments
Credit card information will be kept on file for all package bookings. If the required cancellation notice is not received, the card on file will be charged for the balance.
By signing these Terms and Conditions or paying a booking fee, you authorize us to charge the card on file if the required cancellation notice is not provided.
Arrival Information
One member of the couple should arrive 15 minutes early to complete paperwork.
Please complete our Client Information Form prior to arrival.
On-Time Arrival
The couple must arrive on time. If a couple arrives 15 minutes or more late, the ceremony may need to be rescheduled, and all payments will remain non-refundable.
The ceremony will still end at the originally scheduled time, even if it starts late.
Marriage License
A valid marriage license is required to marry in PA. We cannot issue marriage licenses.
The couple must bring a valid marriage license and photo ID to the ceremony.
No ceremony will take place without it—no exceptions.
The couple must arrive fully dressed; there are no facilities for dressing at the chapel.
Package Changes
Downgrades: Downgrades are not permitted. If a couple chooses to downgrade their package, no refund for the difference will be issued.
Upgrades: Upgrades are allowed based on availability but are not guaranteed.
Package Change Fee: Couples may change the date or time once. Additional changes will incur a $50 fee per change.
Guest Count: The guest count is based on the package selected. Any increase in guest count requires prior approval from management. The guest count includes the wedding party, but does not include the couple, children under 5, or professional vendors.
If additional guests appear without prior approval, they will not be allowed inside.
Cancellations / Refunds
All booking fees and payments are non-refundable and non-transferable.
Cancellations must be made in writing via email to [email protected].
Cancellation Policy
All sales are final. Once a booking is made, no refunds will be issued in the event of cancellation.
Cancellation vs. Rescheduling
If a cancellation occurs, the booking is considered a new reservation and will require a new booking fee or payment, depending on the package selected.
Rescheduling / Date Changes
Date Reschedule: Couples can reschedule their wedding date or time once, applying the Booking Fee to the new date if it’s within 60 days of the original date.
If the new date is beyond 60 days, it will be treated as a new booking, and a new Booking Fee will apply.
No-Show Appointments
“No Show” appointments are considered cancellations and will require a new booking and payment. All payments made for “No Show” appointments are non-refundable.
COVID Cancellation / Rescheduling
If the wedding needs to be canceled or rescheduled due to COVID, we will attempt to reschedule based on availability.
If a new date is scheduled within 60 days, the original Booking Fee will apply.
If a suitable date is unavailable, the Booking Fee is non-refundable.
Force Majeure
Intimate Moment Weddings is not liable for services delayed or canceled due to unforeseen events such as natural disasters, pandemics, or government actions.
In these cases, we will try to offer reasonable accommodations, including rescheduling or relocating the ceremony.
If accommodations are refused by the couple, the situation will be treated as a voluntary cancellation, and the Booking Fee will not be refunded.
City or State Mandates
Mandates issued by the City of Philadelphia, Delaware County, or the State of Pennsylvania will not justify the cancellation of services.
If a cancellation occurs due to new mandates, the Booking Fee will not be refunded.
Image Use
By booking with Intimate Moment Weddings, you grant permission for us to use your images and/or photographs for promotional, marketing, and advertising purposes across web, print, broadcast, and social media.
